You are an office assistant. We are looking for you to complement us as a team. Today, full time!

What YOU’ll DO:

• First contact person for management, consultants, guests and suppliers to manage interaction with or amongst stakeholders
• Support of the team and the management in all organizational and administrative matters with special focus on HR and finance admin activities
• Coordination and continuous improvement of all processes in the office
• Planning of internal events, team meetings (regular and extraordinary)
• Support in project controlling (recording of hourly bookings, expense reports, invoicing etc.)
• Contract management with different stakeholders (freelance, clients, suppliers in line with legal council and MD)
• Team Expense management
• Ordering and managing office supplies and equipment
• Travel management using a travel booking tool in line with travel policy
• Management of Onboarding and Offboarding administration of new employees,
• Management and coordination of all appointments and travel planning for MD
• Calendar management as well as preparation and follow-ups
• Special projects such as organization of return to office activities


• Pronounced degree of initiative, independence, structured way of working and confident, friendly demeanor
• Completed commercial training or similar qualification, BA/BS preferred
• Professional experience as an assistant or in a team support role
• Routine handling of MS Office applications, advanced proficiency in MS Word / Excel, powerpoint a plus
• Knowledge of basic controlling and bookkeeping activities
• Very good written and spoken English, German a plus
• Excellent organizational talent with high regard for structured processes and proactive communication to relevant stakeholders, multitasking, flexibility and resilience
